Job Title: Policy & Procedure Writer

Reports To: Chief Operating Officer

Job Summary: Responsible for ensuring policy, procedure, and compliance requirements are established, documented, implemented, and understood by appropriate audiences within the company. Activities include, but are not limited to, self-audit, compliance issue solutions, policy and procedure compliance documentation, education & training documentation, and guidance on operational requirements.

Essential Job Functions

  • Ensure procedures, guidance documents, and forms are developed, reviewed, approved, and distributed to appropriate personnel in accordance with the approval process cycle
  • Ensure that technical and engineering documents such as vendor manuals, diagrams, charts, blueprints, and specifications are reviewed and accurately integrated into procedure documents
  • Develop basic to moderately complex solutions to properly document compliance issues and solutions
  • Collaborate with department managers and other resources in process, program and/or procedure development and documentation, including periodic revisions
  • Conduct regular and periodic reviews of existing procedures and other documents in response to organizational, technical, or administrative changes, or at management direction
  • Assist in the development of communication plans for the implementation of new or revised policies, procedures, or practices in collaboration with policy owner
  • Collaborate with the training department and subject matter experts for the development and delivery of consistent training materials
  • Contribute to and participate in improvement initiatives to support the department and company initiatives, mission, and corporate objectives
  • Assist with ensuring compliance to site records management requirements
  • Maintain relevant website links and content
  • Serve as a subject matter expert in one or more areas, providing guidance and counsel to managers and employees
  • Gather, assess, and confirm interpretation of new and/or changing procedures to ensure that all documents capture a complete view of all activities and processes within and across areas company-wide
  • Create and update process maps in conformance with provided standards
  • Update job-specific training modules on an annual basis with updates that have occurred to procedures and policies
  • Develop, update, and maintain the online documents using specialized software and internally developed processes
  • Ensure that all assigned publications are free of typographical, format, and layout errors with consistency in style and terminology
  • Interview subject matter experts to determine the impact of changes to existing governance documents, as well as integrate information derived from interviews into meaningful procedures
  • Manage multiple writing assignments to meet target publication dates
  • Collaborate with necessary stakeholders to have all procedures, documents, forms, and processes reviewed, revised, edited, and finalized for publication for customer, employee, and Company use
  • Serve as a role model for peers and associates, acting in an ethical & professional manner in all respects

Qualifications and Experience

  • Bachelor’s Degree in English, Business Communications, or a related field
  • 3-years of experience in business writing in the residential mortgage lending industry
  • 3-years of experience in technical writing or Procedure Professional Association (PPA) Qualified
  • Expert proficiency with MS Office, particularly Word, Excel, and Visio
  • Demonstrated knowledge of TRID, HMDA, ECOA, Fair Lending, Dodd-Frank, RESPA guidelines
  • Ability to work remotely when required
  • Prior experience in residential mortgage processing is preferred
